There are seven steps. Follow them in order. The goal is simple: catch cost and quality problems before they become invoices.

Step 1: Get the current Doka formwork catalogue and check the revision date
The Doka formwork catalogue is the source of truth for item numbers, load tables, and system combinations. As of my last audit in January 2025, the 2024/2025 edition was available at doka.com. If someone sends you a PDF from a previous project, check the date. A two-year-old catalogue can mean outdated item numbers—and a wrong order.
This is also where "system szalunkowy Doka" comes in. The Polish-language catalogue uses the same component codes as the English and German versions. If you know the Doka item number, you can order across borders without confusion.
Step 2: Separate system components from loose parts and consumables
This is the step most checklists miss. Every line item in your material list should be tagged as one of:
- System component (panels, beams, props, ties)
- Loose part (bolts, cones, brackets, staples)
- Consumable (release agent, stopping compound, nails)
Why does this matter? Because loose parts and consumables are where budget overruns hide. I once reviewed a quote where the "miscellaneous accessories" line was 23% of the total. No item numbers. Not a deal-breaker yet, but a red flag.
Step 3: Verify load assumptions against the Doka technical data
Don't rely on "standard spacing" from memory. Concrete pressure depends on temperature, pour rate, and mix design. The Doka H20 beam technical data sheet, for example, lists a permissible bending moment of 5.0 kNm and a permissible shear force of 11.0 kN (source: doka.com, accessed February 2025). If your pour pressure exceeds the calculated assumptions, spacing must be tightened. More beams and ties are not a surprise—they're physics.
If a quote suddenly includes extra H20 beams, check the load assumptions before rejecting it. In my opinion, this is the single most common source of "unexpected" formwork costs.
Step 4: Check the material list against actual site conditions
A material list that works in theory may fail on site. Three things to check:
- Crane capacity: Can the crane lift the largest panel in the planned radius?
- Access width: Will the truck get to the storage area, or do you need a pump or a second handling stage?
- Storage: Formwork panels are not meant for open mud. If you need to rent a storage unit or covered laydown area, that cost belongs in your total cost of ownership (TCO).
On storage: how much is a storage unit? In my area, a dry, locked unit runs $150–$300 per month. Three months of storage is $900. That has to be in the total cost calculation, not in the "unforeseen" column. Rates vary by region; verify current prices.
Step 5: Specify H20 beams and formwork accessories by item number, not by description
If your purchase order says "H20 beam," you'll get whatever H20 the supplier has in stock. If it says "Doka H20 top" plus the catalogue item number, you get the component the formwork design was based on. The difference is not cosmetic. Load capacities and tolerances vary.
Think of a frameless shower door: the glass is the visible part, but the hinges and seals are where the price lives. Formwork is the same. The panels are visible, and the accessories are where the money goes. If the accessories aren't itemized, you're pricing the glass without the hardware.
Step 6: Build a check register for every component
A check register is simply a ledger that tracks every line item from quote to return. It's not a budget. It's a detailed, line-by-line record. For each order, I track:
- Date of order
- Doka item number
- Description
- Quantity
- Unit price and rental rate
- Delivery date
- Expected return date (for rentals)
This might sound like overkill. It's not. In Q4 2024, our check register caught a duplicate payment for 85 formwork props—$2,100 that would have disappeared into "miscellaneous." The question isn't whether your team is honest. The question is whether you can trace a mistake back to a line item.
Step 7: Add a pre-delivery inspection to your receiving process
The cheapest insurance is a 10-minute count when the truck arrives. Count the H20 beams. Check panels for edge damage. Verify the item numbers against your check register. If something is wrong, photograph it and note it on the delivery receipt before the driver leaves.
Five minutes of verification beats five days of correction. This is the core of my whole approach: prevention over cure.
Common Mistakes That Turn a Good Price Into a Bad Deal
Here are the patterns that show up in my audits.
Comparing only unit prices
Unit price is the starting point, not the final answer. Transport, rental period, late-return penalties, and damaged-panel replacement clauses can outweigh a 10% price difference. A vendor with a lower beam price but shorter rental window can end up costing more. Do the full total cost of ownership calculation.
The surprise wasn't the unit price gap. It was the $4,800 difference in transport and rental terms after applying the same assumptions. To be fair, low unit prices are useful as a negotiation anchor. But they're not the bottom line.
Renting too short a period
Formwork rentals have a daily rate, and overtime rates are brutal. "Renting for 4 weeks because the schedule says 4 weeks" ignores concrete curing, rework, and weather delays. If you have experience with delays in your region, add a realistic buffer. The extra rental days are cheaper than a project delay.
Ignoring engineering support in the price
Some suppliers include engineering support in their quote. Others charge per drawing or per revision. I had a situation where the numbers said go with a cheaper vendor—12% lower on material. My gut said their engineering support was too slow. I went with my gut. Later, we needed a revised design for a wall that had to change at the last minute, and our supplier responded in 48 hours. The cheaper vendor? Their typical revision time was two weeks. That delay alone would have wiped out the savings.
Not adding a buffer for damaged panels
On every site, some panels get hit by a crane bucket or covered in hardened concrete. You will need replacements. If you don't budget for a buffer, you'll buy them at the most expensive time: mid-pour.
Looking back, I should have added a 3% buffer for damaged panels from the start. At the time, I thought it would inflate the budget. The rework costs were higher than the buffer would have been.
Bottom Line
The Doka formwork system is not the cheapest formwork on the market, and it shouldn't be evaluated that way. What matters is the total cost of getting a concrete structure right the first time. A reliable material list, a check register, and a pre-delivery inspection are the cheapest tools you'll ever use.
I have mixed feelings about formal checklists. On one hand, they're bureaucratic. On the other, they've saved us an estimated $80,000 over six years in avoided rework and duplicate payments. That's not a guess; it's from audits of our cost system.
